Airtrot provides personalized travel planning and concierge services. Travel requests may be submitted at no cost. If Airtrot determines that your request is a fit for concierge planning, you may be invited to proceed with a paid planning service. By purchasing concierge planning services, you agree to the following terms:
Service Scope & Fee Application
Concierge planning begins with a planning fee starting at $150.
The planning fee includes:
- Custom travel research and itinerary design
- Sourcing flights, accommodations, transportation options, and experiences
- Personalized recommendations based on your preferences, timing, and budget
- Booking coordination and travel support
- Reasonable revisions during the planning process
The planning fee is charged only after Airtrot reviews your request and confirms that concierge planning services are appropriate for your trip.
Service Initiation
- Concierge services are considered initiated immediately upon successful payment confirmation.
- Service activity may include destination research, supplier sourcing, availability checks, itinerary development, travel planning consultations, and coordination with travel providers.
Delivery of Service
- Service is considered delivered when Airtrot provides initial travel recommendations, itinerary options, planning materials, or customized travel guidance through email, WhatsApp, phone consultation, or another agreed communication channel.
- Initial delivery is typically completed within 24–72 hours of payment, depending on the complexity of the request.
Cancellation & Refund Policy
- Travel requests submitted through Airtrot’s inquiry form do not require payment and may be withdrawn at any time.
- Once the concierge planning fee has been paid and service activity has begun, the planning fee is non-refundable.
Limited Refund Exceptions
Refunds may be issued only if:
- A cancellation request is submitted within 24 hours of payment and no service activity has been initiated, as determined by Airtrot.
OR
- Airtrot determines that it cannot provide reasonable planning assistance based on the traveler’s stated requirements.
All refund requests must be submitted in writing to hello@airtrottravels.com.
Third-Party Travel Services
All travel bookings, accommodations, transportation services, tours, activities, and other travel products are subject to the terms and conditions of the respective suppliers. Airtrot is not responsible for:
- Supplier cancellations, delays, schedule changes, or service interruptions
- Supplier refund policies or refund processing timelines
- Visa decisions, border-entry decisions, or government travel restrictions
- Travel disruptions, weather events, or circumstances outside Airtrot’s reasonable control
Chargebacks & Disputes
By purchasing concierge planning services, you acknowledge and agree to this Refund & Cancellation Policy.
The planning fee represents payment for professional travel planning services. Initiating a chargeback after services have been initiated or delivered may be considered a violation of these terms.
We encourage clients to contact Airtrot directly so that any concerns can be resolved promptly and professionally.
